ClockOn is an up to the minute employment system perfectly positioned for SME's struggling to deal with the complexity of the new IR landscape created by the WorkChoices legislation. Based on many years of research and a successful product suite, ClockOn v3 incorporates both leading edge hardware and software integrated as a powerful and highly flexible solution for the changing times. Payroll
All payslip data can be accessed and modified from the payroll wizard, with no need to leave the session. A fully compliant payroll for 100 employees with (for example) three allowances each, can be loaded and processed in forty seconds. Five star innovation.
Rule Manager
Employment formulae, drawn from many awards and industries, are converted to “rule sets” which are applied to individual employees at the time of payroll generation. These can be configured to reflect Federal and State Awards, AWA’s, EBA’s and other agreements. Five star innovation.
Allowance Manager
The Allowance Manager emulates the Rule Manager in offering powerful, configurable templates for the fast entry and generic control of allowances and adjustments. A unique utility suited to those industries where multiple allowances are prevalent. Five star innovation.
Rates and Roles Manager
Those many employers with junior staff are permanently freed from the tedium and expense of age-related manual pay rate upgrades. Equally, those employers where pay rates change with length of industry experience or temporary roles now can enjoy automated rate changes. Breaks Manager
In those industries where break records are mandatory and for those employers who desire greater accountability for breaks, ClockOn v3 offers a powerful and unique solution. Single or multiple breaks (both rostered and non rostered) can be recorded against any day worked and special rules and penalty rates may be applied to these breaks. Budgeting
ClockOn v3 offers possibly the only tool on the market to provide completely accurate payroll costs in advance at the time the roster is created. These include factors previously uncosted, such as employee allowances, cumulative overtime, split shift allowances etc. Its spectacular Rollup function enables three views of projected roster costs in standard, expanded or compressed formats, based on the interaction of the Rule Manager, Allowance Manager, Rates and Roles Manager and Breaks Manager. File Export
ClockOn v3 offers fast and fail safe electronic time capture. Gross payroll values derived from the time and attendance system are currently exported into other systems lacking this functionality, including MicrOpay and Attaché. ClockOn provides the T&A front end for those that don’t have it. Payroll and cost centre summary data are exported as journal entries to MYOB and QuickBooks. Job costing values are exported to QuickBooks and Dovico. Five star innovation.
Integrated ClockOn v3 Hardware
Utilising the ClockOn TCP/IP Service, (the ClockOn “Traffic Cop”), shift attendance and break times are automatically exported from ClockOn C-Pass to a database located either at an IP address on the local network or remotely to a head office. Based on cutting edge Australian designed access control technology, the off-network C-Pass unit includes a powerful, rechargeable 12 volt battery backup. Seamlessly integrated with the version 3 software, C-Pass assures fail-safe, state of the art, fast, real time capture and recording of log entries, regardless of network downtime or local power failure. ClockOn Enterprise
Using ClockOn hardware and proven field by field data synchronisation, ClockOn Enterprise can operate in a widely distributed environment in which payroll and the Rule Manager are handled at head office while the other functions (minus payroll and compliance) are employed at branch level. ClockOn Anywhere
Using the C-Pass hardware connected to a local PC with the ClockOn TCP/IP Service installed, times can be captured at any location and directed to a remote ClockOn database via broadband in real time. This powerful function is invaluable for smaller branch locations logging times to a head office. Six star innovation.
Video Time Sheets (VTS™)
Secure monitoring of shift start times, breaks and end times can be achieved using ClockOn C-Watch (Video Time Sheets), obviating the need for expensive and labour intensive biometry. The effect of this innovation is both a new paradigm in time and attendance recording and record keeping and the most powerful deterrent to time and identity theft yet conceived. This solution has been granted a provisional Australian patent (No. 2006905789). Patented seven star innovation.
Job Costing

In response to consistent demand, ClockOn v3 offers a powerful time recording and costing tool for those employers who need this function. Designed for both project management and job costing, the ClockOn job system allows the Administrator to account for internal costings and to export job times into third party time billing or project management tools. Many employers can’t do without it. Available as an optional extra. Exports to Dovico and QuickBooks. Five star innovation.

Innovation
A deficiency identified in our research has been the fractured character of time and attendance capture and recording, payroll, rostering and integrated HR resources available to small business in Australia. Our innovation has been not only to identify these issues but to respond to them by creating an A-Z solution starting with a robust electronic time capture system (based on advanced Australian designed access control technology), followed by an extremely powerful system of calculation for managing awards, AWA’s and other agreements and finally integration with an independent TCP/IP service designed for routing time and attendance and other file types to selectable IP destinations. To cap it off, we have challenged the public perception of biometrics as a cure-all by turning surveillance cameras (multiple) in a new and innovative direction, namely at the very act of clocking on and off both shifts and breaks. We have patented and trademarked this system, which we call VTS™ (Video Time sheets)

Performance
The performance (and therefore acceptance) of our product can be identified by its adoption as a national product by over thirty industries in six states, including IGA supermarkets, pharmacy chains and manufacturing businesses. Our exceptional product is matched only by our disciplined and consistent support. Support calls to our 1800 number are infrequent, typically reflecting uncertainties about award interpretation and application, rather than software issues. John, can you tell us what you have gained from your involvement with ClockOn?
We appreciate some of the stuff you’ve being doing is cutting edge technology and we’ve been very happy to be part of that. We feel that you’ve got a really good system that’s ahead of its time and which has everything that we’ve wanted in a wage system.
What is your feeling about the time saving and cost benefit of having such a system as this?
Time sheets have always been a complete paper hazard for us. This way, if they don’t swipe, we assume they haven’t turned up. Flags are raised on early starts, late starts or non attendance and this can be followed up very easily.
My expectation has been that employees will trust this system because there can’t be an error made in entering their times. Would you agree?
Yes.
Have you developed an appreciation of staff being able to clock on remotely to your data base here. How helpful do you think that has been?
We were wondering whether we would have to have two separate systems. We are absolutely thrilled that we can use the broadband connection to give employees remote access to our main office computer where we do our wages. It is another problem solved.

Victoria, have you discovered anything in ClockOn that has been a bonus to you, any extra value, other than what you thought you were getting?
Well, time! It’s saving so much. And time is money.
We have a dentist in Victoria who said that we have saved him as much as 90% of his previous staff administration time. Have you estimated what time you might be saving?
I’d say it would be very close to that. Previously we had to employ someone to do our pays.
You now no longer have to do that?
No longer do that, I do it myself.
So there’s a wage gone?
A wage gone as well as a very competent person who would usually take a day. I can now knock over the wages for two businesses within an hour.
Then we’ve met our objective?
Oh completely.
How valuable do you think the remote Clocking on at the other store has been in the context of the overall installation?
It’s been fantastic. The other pharmacy is within close distance to our main pharmacy but it has just made it so much easier as I don’t have to stop one payroll to go over and do another. The times come through automatically to the head office database. It’s great!
One thing I want to say is that the staff at ClockOn have been absolutely fantastic. They’ve always been there and they’ve always got a smile in their voice whenever I’ve spoken to them.

Potential
This product has unlimited potential both in terms of its visionary design and its inherent capability for development and reduced maintenance based on its object oriented coding. Supported by AusIndustry and awarded a Start Grant early in its career, ClockOn Pty is a true R&D company dedicated to questioning, challenging, experimenting and advancing in the ever changing field of employment IT.
Our original direction, that is to develop an affordable payroll and HR solution for small business, has been maintained, but there is enormous potential for growth in our tier 3 market sector, and (at the risk of hyperbole), even more when our scope expands to tier 2, tier 1, export markets and beyond.

ClockOn v2 is currently installed in thirty industries and six states, ranging through supermarkets, pharmacy chains, manufacturing businesses and medical practices.
Our Board of Management includes LNV Samy, a director of Unisys Australia, Michael Banks, a senior industrial relations consultant, Damien Collings, a senior software engineer, David Mylne, a senior property manager with First State Colonial and Dr Graham Mylne, Managing Director.
We are registered as an R&D company with AusIndustry and with the ATO as an RSF (Registered Software Facility)
Our vision is to bring a fully integrated and affordable employment and HR solution to all SME’s in Australia, to work with other providers to achieve this objective where necessary and quite simply to improve productivity and reduce the cost of small business across the board.
We are on good working terms with MicrOpay and provide biometric and other time capture systems to users of Meridian by referral. We have received introductions from Kronos.
For purposes of scoping, we define SME’s as those businesses that need help the most, battling compliance without the help of an HR department or manager. Our goal is to reduce management stress in that area by automating as many management and HR functions as possible.
The Federal Ministry of Industrial Relations has advised us not to represent ourselves as providers of compliance software, which advice we have heeded. Our software is, however, highly configurable by the user and can be used to emulate many awards and other agreements for the purposes of payroll. We are broadly compliant with WorkChoices.
We work to a project plan and to disciplined version control. We do not outsource development nor do we invite development to specification.
We are in strategic relationships with International Security Control Systems (NSW), Dental Computer Systems (Victoria), Allpoint Security (NSW), Easitag Systems (Queensland) and one of the big three national legal firms.
We are endorsed by the Pharmacy Guild of Australia and the Australian Dental Association (Victorian Branch). We work in close co-operation and harmony with these organisations to market and deliver the product to their members. We are currently engaged in a pilot project with the NSW Branch of the AMA.
